Google Sheets

Send every survey response to a Google Sheet as it comes in.

Connect a survey to Google Sheets and Surbee creates a spreadsheet for it, copies in the responses you already have, and adds a row for each new response as soon as it is submitted.

Connect a survey

  1. Open Settings, then the Connectors tab, and click Connect next to Google Sheets.
  2. Under Connect a survey, choose the survey.
  3. Click Connect Google Sheets and sign in with the Google account that should own the spreadsheet.

You come back to Surbee with the survey listed under Connected surveys. Click Open sheet to go to the spreadsheet. It is named Surbee: followed by the survey title, and lives in that account's Google Drive.

Each survey has one spreadsheet. Connect other surveys one at a time.

What the sheet contains

The sheet has a frozen header row and one row per response. The first columns are the same for every survey:

  • Response ID
  • Submitted at, in UTC
  • Status, such as Completed, Partial or Screened out
  • Cipher score, from 0 to 100, where higher means more trustworthy. It is blank when Cipher has not scored the response.
  • Flagged, Yes or No

After those comes one column per question, in survey order, using the same rules as the CSV and Excel export:

  • Choice questions show the option labels.
  • Likert and matrix questions get one column per statement or row, coded 1 to n in scale order. The header shows what 1 and n mean. A matrix that allows several answers per row shows the labels instead of a code.
  • A repeating group is one column, with every entry written out in text.

Answers are written as plain text, so an answer that starts with an equals sign never runs as a formula.

Existing responses

When you connect, every response collected so far is copied into the sheet, oldest first. Preview submissions are left out. A large survey can take a minute or two; the connection shows Copying existing responses until it finishes, then how many were copied.

When you change the survey

If you add questions after connecting, Surbee adds their columns at the right end of the sheet. Columns that are already there never move, so formulas and charts that point at them keep working. A deleted question keeps its column, which stays empty for new responses.

Managing connections

Under Connected surveys, each connection can be:

  • Paused, so new responses stop going to the sheet, then Resumed. Responses submitted while paused are not added later.
  • Removed. The spreadsheet and everything in it stays in your Drive.

Reconnect

If Google access is revoked or expires, the connection shows Needs reconnect and stops sending rows. Click Reconnect and sign in again. Surbee keeps writing to the same spreadsheet and fills in the responses that arrived while it was disconnected.

If the spreadsheet itself is deleted, Reconnect creates a new one and copies every response into it.
